ClinicPilot
Works with Jane

Keep Jane. Fill what Jane can’t.

Jane runs your bookings, charts, and payments beautifully. What it doesn’t do is notice the empty Thursday at 11 and decide who to offer it to. That’s the part ClinicPilot does — alongside Jane, not instead of it.

Jane keeps doing

The division of labour, in plain terms

  • Booking, the online booking page and reminders
  • Its own Wait List
  • Charts and notes
  • Invoices and payments

ClinicPilot adds

  • Every open slot, with what it is worth
  • Who to offer each opening to, ranked, with the reason written down
  • An offer ready to send from your own email, phone or WhatsApp, with your Jane booking link opened on the right week
  • Owner numbers: utilization, no-shows, unbooked time and money owed, from your Jane reports

What changes in Jane: nothing.

How to connect

Four steps

  1. Download ClinicPilot for Mac or Windows and install it.
  2. Paste one read-only calendar link per practitioner — created in Jane, switched off in Jane any time.
  3. Import your patient list from Jane as CSV or Excel, for phone numbers, emails and consent.
  4. ClinicPilot reads your schedule.

From there, ClinicPilot reads your calendars every hour while it is running, finds the gaps, and hands the front desk a ranked list of who to offer each opening to, with the reason written beside each name. Your desk sends the offer, and the patient books in Jane.

Your data stays yours

Read-only by design

  • Read-only calendar links. No Jane password ever changes hands.
  • Patients, appointments and reports stay on your clinic's computer. ClinicPilot never receives them.
  • ClinicPilot shows who agreed, who declined and who opted out, and never reverses an opt-out. Your clinic sends every message.
  • An encrypted backup is made on your computer every night.

Questions clinics ask

Straight answers

Do we have to leave Jane?

No. ClinicPilot is not a replacement for Jane. It reads the calendar links Jane gives each practitioner. Every booking still happens in Jane, and nothing in Jane changes.

What exactly connects the two?

One read-only calendar link per practitioner, created in Jane and pasted into ClinicPilot on your clinic's computer. No Jane password, and a practitioner can switch a link off in Jane any time.

Where do patient phone numbers come from?

Not from the calendar links — Jane only puts names and appointment times in those. Export your patient list from Jane as CSV or Excel and import it. Consent and opt-outs in that export are shown on each patient.

Does ClinicPilot message our patients?

No. ClinicPilot never texts, emails or calls a patient. Your desk sends each offer from its own email app, phone or WhatsApp, and the patient books in Jane through your own booking link.

What about Jane's Wait List?

Keep using it. It reaches the patients who joined it. ClinicPilot ranks everyone else who might take the time, like regulars who are overdue.

We're not on Jane. Does it still work?

ClinicPilot also works with Walnut EMR, Cliniko, Juvonno and Universal Office.
